The personal data we collect and why we collect it

We collect the following personal data you collect from users and site visitors.

Name, email address, address purchase information for the purposes of contacting you regarding your queries or purchase of coaching, training or other support services.

In communicating with ADHDing with Anj, you may share sensitive personal data such as information about your health. We will only keep this data as long as is needed to respond to your query, or while you are a coaching client. We do this on the basis that it is of legitimate interest (under GDPR) to keep this information. However, you can request the removal of your data or consent at any time. The right to request does not include any data we have to keep for administrative, legal, or security purposes.

Contact forms

We collect your name and email address and any other personal data you share with us. This is kept so we can respond to your query or while you are accessing counselling, training or another service. We keep this no more than 12 months after the query has been received or the service provided has been completed/terminated.

Comments

When visitors leave comments on the site we collect the data shown in the comments form. The visitor’s IP address and browser user agent string is also collected to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

MailPoet newsletter & emails

If you have subscribed to our newsletter or if you are a member of our website (you can log in) or if you have purchased on our website, there is a good chance you will receive emails from us.

We will only send you emails which you have signed up to receive or are about the services we provide to you.

To send you emails, we use the name and email address you give us. Our site also logs the IP address you used when you signed up for the service. This is to prevent abuse of the system.

This website can send emails through the MailPoet Sending Service. This service allows us to track opens and clicks on our emails. We use this information to improve the content of our newsletters.

No identifiable information is otherwise tracked outside this website except for the email address.

WooCommerce

WooCommerce collects information about you during the checkout process when you purchase services from ADHDing with Anj via the online store.

What we collect and store

While you visit our site, WooCommerce tracks:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes

Our team members have access to this information to help fulfill orders, process refunds and support you.

Who we share your data with

Our website uses the plugins listed above, so you can purchase coaching and other services. We hold personal data including name, address, email and payment details securely and only keep them as long as needed to comply with financial regulations.

If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

We hold your personal as long as it is needed to respond to your queries or deliver coaching, training or other agreed services to you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You can request us for an export of all the personal data that is processed by ADHDing with Anj. We will provide you with an export of your collected and processed personal data.

You have the right to object to our processing of your personal data, under certain conditions.

It’s important that your data remains secure. At ADHDing with Anj, data is held securely and re security of systems including plugins are reviewed on a quarterly.

The data breach procedures

In the unfortunate situation that a data breach that involves or is likely to involve your personal data we will assess the situation and take appropriate action. This may including contacting you to let you know what has occurred and what we’re doing about it, taking remdial actions, reporting to the breach or potential to the Information Commissioner’s Office.

Potential or actual data breaches are investigated and where possible actions are taken to address the breach and future potential breaches from occuring.

About your coaching sessions Everything you share with me is kept confidential. Exceptions to this apply only for legal duties or safety concerns for you or others. If this is ever the case, I will always try to discuss this with you first. I hold our sessions in private and confidential settings. I will make notes to prepare for our sessions and take notes during them so I can keep track of everything we discuss. All notes are stored securely online and are for my use only. If someone else, like your employer, a friend, or a family member, is paying for your sessions, you can be confident that your coaching information will remain confidential. Apart from payment requests, invoices, and receipts, nothing about our sessions will be shared. If I am asked to share other information I will only do this with your written consent. If your employer is paying for your coaching, we may agree at before you start your coaching what information is shared with them. This is outlined in a multi-party agreement which is signed by you, your employer and me. Only information outlined in the agreement is shared by me. Where I store your personal data The systems I use to communicate with you or store your data on are cloud based systems such as Google Workspace and Paperbell. These systems are encrypted, use two factor authentication and have privacy controls designed to protect your information. How I use your personal data ● I use your contact details to provide you with information you’ve requested from me, to let you know about changes to my availability and any other relevant administrative changes. ● I use preparation and session notes to make sure you get the most out of your coaching sessions. ● As part of my commitment to providing a professional service, I attend supervision and ongoing training. This may include sharing details of coaching sessions I’ve provided. This is bound by a confidentiality agreement and to protect your identity I only use the initial of your first name. Your personal data will not be used in any other way. How long I keep your information coaching with me, six months if you don’t book. ● Pre-coaching questionnaire – seven years. ● Session notes – seven years. ● Feedback – seven years. ● Payment information – seven years. Your rights Personal data retained by me is kept in accordance with General Data Protection Regulation Act 2018. The act gives you rights including the right to: ● Request access to your personal data You can request to view the information I hold about you at any time. If you’d like to see your session notes during the time I am coaching you, please let me know. If you’d like to see the information after your coaching has ended, you can make this request by emailing me or calling me. This is known as making a Subject Access Request (SAR). If I receive a SAR from you, I will provide the information within 30 days. ● Have your personal data rectified While I am coaching you or afterwards, you have the right to request amendments. This can be arranged by speaking to me directly or emailing me. ● Be forgotten You can ask me to delete and confidentially destroy the information that I hold about you and your sessions at any time. You can do this by speaking to me or emailing me. I would not be able to comply with your right to be forgotten request if: ● I need to keep the records to continue providing an effective service. ● I am compelled to retain these records by a Court of Law ● I need the records to establish, exercise or defend legal claims. In the event of a data breach If someone gains unauthorised access to your personal information, this is known as a data breach. This is unlikely due to the care I take to protect your data and privacy. But if a data breach does happen, I will let you and the Information Commissioners Office within 72 hours. I will tell you how the breach occurred, the information involved and the steps I’ve taken to resolve the issue.
